Club TentBox Terms of Service

1. Introduction and Acceptance

Welcome to Club TentBox. These Terms of Service ("Terms") govern your access to and use of the Club TentBox web application and all associated features (the "Platform"), operated by TentBox Ltd, a company registered in England and Wales ("TentBox", "we", "us", or "our").

By creating an account and accessing the Platform, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree, you must not use the Platform.

You must be at least 18 years old to create an account. By accepting these Terms you confirm that you meet this requirement.

2. Your Account

Access to all features of the Platform requires a registered account. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.

You agree to provide accurate and complete information when registering and to keep that information up to date. We reserve the right to suspend or terminate accounts where we reasonably believe the information provided is inaccurate, misleading, or incomplete.

You must notify us immediately at support@tentbox.com if you become aware of any unauthorised use of your account.

3. Membership and Benefits

Club TentBox membership is currently provided free of charge to registered users. Membership grants access to the following benefits, which may change from time to time:

  • Access to Club TentBox-exclusive partner campsites and dedicated TentBoxer pitch areas
  • Partner discount codes and offers
  • The AI-powered road trip planner
  • 25% discount on TentBox merchandise
  • A £25 accessories voucher (applicable to orders of £75 or more)

We reserve the right to modify, suspend, or withdraw any benefit at any time. Where a benefit is materially reduced we will endeavour to give you reasonable prior notice.

4. Campsite Bookings – Booking Agent Status

4.1 TentBox as Booking Agent

When you make a campsite booking through the Platform, TentBox acts solely as a booking agent on your behalf. TentBox is not the campsite operator, owner, or provider of accommodation. The contract for your stay is formed directly between you and the relevant campsite operator ("Operator") upon confirmation of your booking.

4.2 Operator Responsibility

The Operator is solely responsible for the campsite, its facilities, safety, and the delivery of your stay. TentBox makes no representations or warranties regarding the quality, safety, availability, or suitability of any campsite listed on the Platform.

4.3 Booking Confirmation

A booking is confirmed only when you receive written confirmation from TentBox or the Operator. Pitch fees and availability are set by Operators and are subject to change. TentBox displays pitch fees in good faith but is not liable for pricing errors introduced by Operators.

4.4 Cancellations and Refunds

Cancellation terms are set by the individual Operator and will be displayed at the time of booking. TentBox will communicate any refund to which you are entitled in accordance with the Operator's policy. TentBox is not responsible for refunds where an Operator fails to honour its cancellation policy; in such circumstances we will assist you in pursuing the matter with the Operator.

4.5 Commission

TentBox may receive a commission from Operators in connection with bookings made through the Platform. This does not affect the pitch fee you pay.

5. Partner Discounts and Vouchers

Partner discounts and vouchers are provided subject to the individual terms of the relevant partner or promotion. TentBox accepts no liability for the products or services offered by third-party partners, or for a partner's failure to honour a discount or offer.

The accessories voucher (£25 off orders of £75 or more) is issued once per account, is personal to you, is non-transferable, and has no cash value. It may not be combined with other promotional codes unless expressly stated.

6. AI Road Trip Planner

The road trip planner uses artificial intelligence to generate suggested itineraries based on your inputs. Suggestions are provided for general guidance only and do not constitute professional travel, navigation, or safety advice. You are responsible for verifying all information, including route suitability, campsite availability, and local regulations, before undertaking any trip.

AI-generated content may contain errors or omissions. TentBox accepts no liability for loss or damage arising from reliance on planner output.

7. Acceptable Use

You agree not to:

  • Use the Platform for any unlawful purpose or in any way that violates applicable law
  • Attempt to gain unauthorised access to any part of the Platform or its underlying systems
  • Use automated tools to scrape, crawl, or harvest data from the Platform
  • Post or transmit any content that is fraudulent, defamatory, abusive, or infringes any third-party rights
  • Impersonate any person or misrepresent your affiliation with any entity

We reserve the right to suspend or terminate your account without notice if we determine, in our reasonable discretion, that you have breached this clause.

8. Intellectual Property

All content on the Platform, including but not limited to text, graphics, logos, and software, is owned by or licensed to TentBox and is protected by applicable intellectual property laws. You may not reproduce, distribute, or create derivative works from any Platform content without our prior written consent.

9. Limitation of Liability

To the fullest extent permitted by law:

  • TentBox's total liability to you arising from or in connection with these Terms or your use of the Platform shall not exceed £100 in aggregate
  • TentBox shall not be liable for any indirect, consequential, special, or punitive loss or damage, including loss of profit, loss of data, or loss of opportunity
  • Nothing in these Terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law

The Platform is provided "as is" and "as available". We do not warrant that it will be uninterrupted, error-free, or free of harmful components.

10. Third-Party Services

The Platform may contain links to third-party websites or services. We have no control over, and accept no responsibility for, the content, privacy practices, or terms of those services. Your use of any third-party service is governed by that service's own terms.

11. Changes to These Terms

We may update these Terms from time to time. Where changes are material, we will notify you by email or by prominent notice within the Platform at least 14 days before the changes take effect. Your continued use of the Platform after changes take effect constitutes your acceptance of the revised Terms. If you do not accept the revised Terms you must stop using the Platform and may close your account.

12. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except that we may seek injunctive relief in any jurisdiction.
